Notebooks Industry knowledge

Yiwu Hosie Crafts Co., Ltd. is a notebook manufacturer in Yiwu, China. Since 2014, we have made paper products at our own production base, which covers 80,000 square meters, employs more than 400 people and runs 10 Heidelberg printing machines. Our daily output can reach 20,000 notebooks, and we ship to customers in Asia, the Americas and Europe. As a factory direct notebook manufacturer, we let wholesalers, brands and corporate buyers deal directly with the people who make their custom notebooks and custom journals, which makes it easier to settle details such as binding, cover material and printing before production starts.

Which Binding Suits Your Notebook

Binding is how the pages are held together. It changes how the notebook opens, how long it lasts and what it costs.

Hardcover

Pages are glued into a rigid cover. It feels firm and premium, and works well for gift notebooks, journals and retail products.

Sewn binding

Pages are stitched with thread before they go into the cover. Sewn notebooks open flatter and hold together better under heavy daily use, so they suit thick journals.

Perfect binding

Pages are glued at the spine under a softcover. It is simple and economical for thinner notebooks, but a very thick notebook may loosen at the spine over time.

Spiral binding

A coil or wire runs through punched holes. The notebook opens completely flat and the cover can fold back, which suits school, office and planner use.

As a rule of thumb, thick and long-lasting notebooks suit sewn hardcover binding, while thin, high-volume notebooks suit perfect binding or spiral.

Choosing a Cover Material

Paper

Printed art paper is the most common cover for hardcover notebooks. It prints full-color artwork well and keeps costs reasonable, which makes it popular for themed series, seasonal products and stationery retail. Matte or gloss lamination protects the surface.

PU leather

A plastic coating on a fabric base, made to look and feel like leather. It gives a soft, smooth cover in many colors and textures, and suits business and gift notebooks. Keep PU leather stock in a dry place, because long exposure to heat and humidity can damage the surface.

Fabric

Cloth covers have a natural texture that paper cannot imitate. They suit journals and gift products, and can be printed, foil stamped or embossed.

PVC and PP covers are also common. They wipe clean and cost less, so they are often used for school and promotional notebooks.

Inner Pages: Paper and Layout

Most notebook pages use offset paper, which takes ballpoint and gel pens well. White paper looks clean, while cream paper looks warmer and softer. If your customers use fountain pens or markers, let us know, because thin paper may let ink show through to the back.

The layout depends on how the notebook will be used.

Ruled

Everyday writing and note-taking.

Grid

Notes with sketches or tables.

Dot grid

Planners and bullet journals.

Blank

Drawing and free-form journals.

Ruling also differs by market. In the US, “wide ruled” is about 8.7 mm between lines and “college ruled” about 7.1 mm, while many European buyers prefer 5 mm squares. If you have a specific line spacing in mind, give it in millimeters.

Closures and Extras

Elastic band

The most common closure, and easy to match to the cover color.

Strap with snap

Wraps the front cover for a classic look.

Magnetic flap

Closes by itself and feels more finished.

Ribbon bookmark

Keeps the reader’s place.

Pen loop

Holds a pen.

Card pocket

Holds cards or loose notes.

Custom journals usually carry more of these extras than everyday notebooks. Each one adds a little cost and thickness, so it is best to add only what your customers will actually use.

Common Notebook Sizes by Market

Europe and most of Asia use the A series, while North America uses sizes based on the Letter sheet.

Size
Dimensions and Typical Use
A4
210 × 297 mm. Desk notebooks and planners.
A5
148 × 210 mm. The most popular size for journals and everyday notebooks.
A6
105 × 148 mm. Pocket and travel notebooks.
B5
ISO 176 × 250 mm or JIS 182 × 257 mm. Common in school and office use, mostly in Asia. Please confirm which standard you mean.
US Letter
8.5 × 11 in (216 × 279 mm). The standard desk and school size in North America.
Half Letter
5.5 × 8.5 in (140 × 216 mm). Used in North America where Europe and Asia would use A5.

These are paper sizes. A finished notebook is usually a little smaller after trimming, so if the exact size matters, give it in millimeters.

Printing and Finishing

Full-color printing suits photos and detailed artwork. If your logo uses a specific brand color, give us the Pantone number so the color can be matched. The same color can look slightly different on paper, PU leather and fabric, so approving a physical sample is the safest way to confirm it.

Foil stamping (metallic gold or silver) and embossing or debossing (raised or pressed-in logos) work best with simple, bold shapes. Very fine lines may not come out clearly. These effects also show more detail on thick board or PU leather than on thin paper.

Small Details That Prevent Big Misunderstandings

  • Sheets or pages: One sheet has two pages, front and back. “80 sheets” means 160 pages, so please say which you mean.
  • Exact size: “A5” alone leaves room for small differences. Give the size in millimeters if it matters.
  • Colors: Pantone numbers are clearer than names such as “dark blue”.
  • Quantity per design: If you want several designs, tell us how many of each, because quantity per design affects the price and the production plan.
  • Packing: Say how you want the notebooks packed, such as one by one in polybags or in groups, and whether cartons need labels or barcodes.

A photo or sample of what you have in mind, together with these details, is usually enough for us to prepare a quotation.

Checking a Sample Before Bulk Production

When the sample arrives, these checks catch most problems:

  • Open and close the notebook several times and flip through the pages. The spine and pages should stay firm.
  • Compare the cover color and printing with your artwork, and check the logo position.
  • Look at the corners and edges. The cover edges should be even and the pages cut cleanly, with no glue marks.
  • Write on the pages with the pen your customers use, on both sides.
  • Test the closure and extras. Does the elastic hold, does the magnet close well, is the ribbon long enough?
  • Look at the packing and ask whether it will survive shipping.

Once you approve the sample, it becomes the reference for the bulk order.

Rules in Different Markets

Rules differ by country, and they can affect which materials you should choose. In the EU, chemical rules such as REACH apply to materials like plastic covers, inks and glues. In the US, notebooks made mainly for children aged 12 and under count as children’s products and must meet stricter safety rules, and California requires warning labels for certain listed chemicals under Proposition 65. Many markets also require “Made in China” marking, and many retailers have their own barcode and carton label rules.

The importer is responsible for checking what applies to its products. If you tell us the destination market and who will use the notebook, we can take that into account when suggesting materials.
